Job Description:
The part-time ETF Assistant reports to the Associate Dean of Corporate Education and will work closely with Corporate and Community Education (CCE) staff to ensure successful program implementation, including effective student and faculty recruitment and support, as well as completion of other program financial and administrative tasks. The part-time ETF Assistant will also assist with other CCE programming as needed.
Responsibilities and Duties:
Assists in carrying out the Division's operational responsibilities and special projects, including but not limited to: word processing, proofreading, operating office equipment, scheduling meetings and conferences, receiving and distributing voicemail messages, emails, and mail
Receives and screens visitors, emails, and telephone calls; responds to or refers inquiries to appropriate staff
Prepares correspondence, reports, and/or memoranda for the divisional staff as needed
Prepares instructor contracts and/or requisitions in collaboration with division staff and follows all internal processes to ensure timely hiring
Coordinates logistics of onsite and remote trainings, ensuing instructors and employer partners have requisite space reserved, remote class links, materials, etc.
Coordinates and tracks invoicing with the business office for billing
Formats course schedules and distributes to internal and external parties as needed
Develops and maintains files, records, and databases, including programmatic, course, and instructor materials
Makes updates to divisional Webpages, as directed
Properly handles confidential materials and information
Performs related work as assigned by supervisor
Requirements:
Minimum of at least two years full-time or equivalent part-time experience in a fast-paced office setting with duties including one or more of the following functions: purchasing, accounting, records management, customer service
OR
An Associate's or higher degree*
*Completed courses toward such a degree will be prorated on the basis of the proportion of the completed degree requirements
Preferred Qualifications:
Minimum of 3 years of experience in a fast-paced, high-traffic office environment
Proficiency with Microsoft Word, Excel, PowerPoint and Outlook
Demonstrated ability to work independently
Exceptional organizational skills and planning ability
Demonstrated ability to manage multiple projects simultaneously
Sound decision-making and judgment with good critical thinking skills
Demonstrated attention to detail
Excellent verbal and written communication skills
Excellent customer service skills
Knowledge of and usage of Banner, Interview Exchange, Self-Service Time and Attendance systems
Knowledge of Canvas Learning Management System
Experience working in higher education, preferably in a community college
Ability to work constructively with diverse workforce and student population

Additional Information:
Position Status: Part-time, Non-benefited position
This position is funded through FY 2024 and is subject to state appropriation.
Hours: Up to 18 hours/week (Not to exceed 936 hours annually), Monday-Friday, with occasional nights and weekends as needed
Salary: $20.00 per hour
