Minimum Qualifications

Essential Job Functions
The Program Specialist
plays an essential role in creating first impressions for a wide variety of constituents, including, University and community leaders, high level donors, alumni and friends. This role serves as a key member of the Engagement & Events team within the Office of the Chancellor, directly supporting the Executive Director of Donor Engagement & University Events as a permanent staff position responsible for a wide range of duties contributing to the department's success.
Responsibilities include, but are not limited to:
Accountable for the efficient and cohesive operations of the Events Office and the central liaison to all departments and areas managed by the Executive Director - including App Catering, Grandview space, and Campus AV services.
Strong attention to detail and confidentiality are critical.
Prepare presentations, agendas, confidential briefings and reports for internal and external engagements, including community events and regular events for executive leadership.
Manage multiple calendars including the Executive Director's and special events.
Provide organizational support to the University Commencement Committee including meeting minutes, time lines, and special projects.
Manage travel arrangements and reimbursements, p-card reconciliations, work orders, purchasing of supplies, and other responsibilities as assigned.
Provide onsite event support when requested, maintaining University protocol, organization, timing and event etiquette.
Manage day-to-day HR functions for the division.
Budget management: Review and analyze budget information with the Budget Officer and make recommendations as needed.
On site event support as needed.
Knowledge, Skills, & Abilities Required for this Position
Strong written and oral communication skills especially in customer service.
Ability to set and prioritize goals and manage multiple projects in their entirety.
Proficiency in the Microsoft Office and Google environment.
Highly organized including demonstrated time management abilities.
Ability to travel and work non-standard hours, including early mornings, evenings, and weekends with a valid driver's license and reliable transportation.
Preferred Qualifications
Bachelor's degree in communications, hospitality management, liberal arts, business, human sciences, nonprofit management or a related field.
Minimum of four years of full-time professional experience in donor/customer relations, project management, or executive level support.
Expert level Google Suite and Microsoft experience.
Knowledge of higher education and the hospitality industry.

Physical Demands of Position
The range of physical demands for this position is broad. The position requires desk work and also time on the feet to assist at events. The position also requires light to medium lifting (up to 30 pounds) related to event management and daily office duties. All duties to be performed with or without reasonable accommodations.
