Work Schedule
Alumni Relations currently adheres to a hybrid work schedule with three days in our campus offices and two days remote work. This schedule is subject to change.
Anticipated Hiring Range
$6,250 to $6,667 per month ($75,000 to $80,000 annually)
Salary is commensurate with experience.
Position Summary
The Associate Director of Alumni Relations reports to the Associate Vice President, Alumni Relations & University Engagement. They are primarily responsible for the planning, implementing and managing the San Francisco State University Regional and Affinity groups and Early Engagement Alumni Programs. The Associate Director will continue the work of designing and implementing a robust regional engagement program for alumni around the Bay Area and the world, focusing on key regional areas including but not limited to the greater Bay Area, Los Angeles, New York, Washington, DC and abroad, through programs, communications, services and events. The Associate Director will also manage the Early Engagement Program, with the goal of building strong feelings of pride and connection so current students and young alumni will develop lifelong engagement with the University. The Associate Director is expected to partner with key campus colleagues, programs and offices and lead the design and implementation of engagement programs aimed specifically at graduates from the past decade and current students in an effort to enhance connectivity, continue education and professional development and create a spirit of philanthropy among young alumni and students.
Position Information
Regional Engagement Program
Evaluate key regional areas, based on population of alumni and current engagement, to determine alumni engagement strategies.
Coordinate logistical aspects for regional alumni events including coordination with hosts, program management, event logistics, contracts, invitations, guest lists and follow-up as needed.
Collaborate with the Associate Vice President to determine programmatic content, featured speakers and guests, and attend and staff select events as appropriate.
Develop training and support systems for alumni volunteers and collaborating with Development colleagues to identify volunteer leaders in key areas, cultivate, train and manage volunteer leaders.
Design and implement regional and affinity group engagement strategies including volunteer led programs, virtual programs, career and professional development programs and more, aimed at increasing knowledge of and connection to the University.
Champion a spirit of philanthropy among alumni.
Collaborate with faculty and lead administrators to leverage opportunities for alumni engagement.
Create a framework for new and emerging regional and affinity groups and guide them through creation, development and succession planning.
Lead regional and affinity groups through fundraising opportunities and encourage giving amongst volunteers and leaders.
Create and manage all online content (email invitations and announcements, event promotion pages, and event online registration) related to regional engagement.
Early Engagement Program
Establish and maintain a student alumni association program.
Conceptualize, plan and implement programs that will bring student and alumni together. Build relationships with Student Life, Career Services, Enrollment Management, current student clubs and leadership and liaise with student organizations to execute events with alumni speakers and/or attendees.
Conceptualize, plan and implement young alumni programs, events and communications of interest with the goal of strengthening alumni connections and engagement with SF State.
Increase Alumni Association memberships, programs, services and opportunities among Young Alumni and students.
Support existing student/alumni programs including Grad Fair.
Collaborate with the Director of Annual Giving on the Class Gift annually.
Alumni Engagement & General Office
Oversee the Alumni Relations Department phone line and email address and respond as needed to messages in a timely manner.
Develop and implement systems to track program and event participation patterns and to evaluate engagement levels following each event.
Partner with Alumni Relations and Annual Giving colleague on departmental projects and initiatives that apply to regional and young alumni, as well as students.
Work in tandem with the Associate Vice President to articulate and achieve alumni engagement goals on an annual basis.
Conduct program evaluation and analysis resulting in changes and improvements to further drive engagement.
Other Duties as Assigned.
Minimum Qualifications
Bachelor's degree
Minimum of three to five years of increasingly responsible professional experience in alumni relations, public relations, development, volunteer program organization or closely related activities.
Ability to travel domestically and internationally.
Ability and willingness to work outside of standard business hours.
Must possess a valid driver's license; may have to work on weekends and holidays to attend alumni events and visit with donors. Occasional air travel required.
Ability to conceptualize and develop programs and engagement opportunities.
Excellent written and oral communication skills; effective public speaking and presentation skills; outstanding organizational skills.
Knowledge of fundraising and alumni databases and software.
Strong interpersonal skills, including demonstrated ability to work effectively with others to accomplish a goal.
Ability to shape and articulate a compelling case of support for the University.
Demonstrated knowledge, experience, proficiency and success in:
Applying the full Microsoft Office Suite applications, e-mail and internet-based systems.
Using relational databases and reporting tools.
Displaying a professional manner and maintaining confidentiality. Experience in anticipating possible unforeseen problems and using sound judgment. Strong commitment to customer service, with a proactive and positive attitude toward assisting others.
