PURPOSE
Under the general supervision of the Director of Financial Aid, the Financial Aid Administrative Analyst works closely with the university technical support staff to coordinate, organize and perform a variety of administrative and technical duties in support of the day-to-day operations of the Financial Aid Office. In addition, the Financial Aid Administrative Analyst performs a variety of functions of a responsible and moderately complex nature requiring a working knowledge of the following: the California Education Code regulations; CSU Executive Orders; CSU test regulations; California State University, Monterey Bay Academic Senate policies; financial aid policies and procedures; and student information system procedures.
ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following
Systematizes and facilitates the timely execution of a variety of data exchange processes including, but not limited to, electronic receipt and transmittal of application information and corrections with Department of Education and California Student Aid Commission, loan data transmittals and electronic payment reporting for a variety of financial aid programs including but not limited to Pell, SUG, FSEOG, CalGrant, MiddleClass Scholarship, scholarships and housing grants.
Responsible for trouble shooting and reconciling of the Federal Direct Loan and Pell Grant records. Assists with annual reporting requirements on behalf of the university as it relates to student financial aid.
Assists with the administrative functions of student information systems for annual set-up, job streams, data exchanges, interfaces, communication modules, and processing and awarding of student financial aid. Maintains calendar of processes, reports, communications, and other tasks throughout the academic year.
Reviews CSUMB Financial Aid website to ensure content is informative and concise. Develops calendar for posting the financial aid cycle as needed throughout the academic year. Post forms, scholarships, and other relevant material as needed.
Provide daily/weekly reports to counselors to audit awards, budgets, Federal and State grants, award packaging status, and other items as needed. Assist staff with troubleshooting award processes including checklist assignment and completion, MPN lookup, ISIR suspense review, and SSN verification.
Responds to the technical needs of the financial aid office staff and provides technical support and training for a variety of software programs used to administer student financial aid.
Attends trainings and workshops to remain knowledgeable on changes, modifications, or revisions to financial aid software as needed. Documents policy and procedures as it relates to software use and workflow.

KNOWLEDGE, SKILLS AND ABILITIES
Knowledge:
Working knowledge of general practices, program, and/or administrative specialty. Basic knowledge of and ability to apply fundamental concepts. Working knowledge of budget policies and procedures. Knowledge of basic methods and procedures for research and statistical analysis and the ability to apply them.
Abilities:
Ability to analyze data and make accurate projections using business mathematics and basic statistical techniques. Ability to organize and plan work and projects including handling multiple priorities. Ability to make independent decisions and exercise sound judgment. Ability to compile, write, and present reports related to program or administrative specialty. Demonstrated ability to establish and maintain effective working relationships within and outside the work group and serve as a liaison for the organizational unit. Ability to learn, interpret, and apply a wide variety of policies and procedures relating to and impacting the applicable program, organizational unit, and/or administrative specialty.
MINIMUM QUALIFICATIONS
General knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods. This foundation would normally be obtained through a bachelor's degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.
PREFERRED QUALIFICATIONS
At least two (2) years of administrative experience in a complex organization. Highly organized with excellent ability to multi-task in a fast-paced environment, prioritize effectively to meet deadlines. In-depth experience working with automated financial systems and databases. Must be highly and demonstrably competent in using Windows and related MS Office applications (particularly Word, Power Point and, especially, Excel), e-mail and Internet systems. Must have a professional manner and maintain confidentiality. Experience in projecting possible unforeseen problems and using sound judgment. Strong commitment to customer service, with a proactive and positive attitude toward assisting others. Demonstrated ability to address the essential functions associated with this position including the knowledge and abilities identified above.
College degree and higher education experience desirable. Experience in using PeopleSoft (primarily), Oracle, or other relational databases (EdConnect, Web Grants, NSLDS, COD); and reporting tools such as Brio, Hyperion, Visio, etc.
Technical fluency with Banner, Oracle/PeopleSoft, CSU Common Management System or equivalent student information system; Microsoft Office Professional Suite, and Google mail and calendaring programs.

May require occasional evenings and/or weekend work.
PHYSICAL ENVIRONMENT
Office environment with standard equipment and tasks. Position requires working at a computer and desk for extended periods of time. May require travel between campus offices and off-campus locations.
There are components of this job which are deemed essential on campus. This position will primarily work on the main campus, with occasional work from home. This position requires working on campus with students. The health and safety of our students, faculty, and staff remain our highest priority.
