General Summary
The Assistant Director, Fund Administration will hold responsibility for maintaining accurate records of fund balances and expenditures and producing regular reports on funds for all gifts received by the University of Maryland Medical System (UMMS) Foundation.
This position will report to the Senior Director, Development Operations and Analytics, and will play a crucial role for the Foundation in ensuring gifts are appropriately recorded, funds allocated in line with donors' intent and philanthropic revenue properly utilized to further the UMMS Foundation's important mission.
The Assistant Director, Fund Administration will work closely with both the Development team and the fund administrators from various departments across UMMS to effectively communicate fund activity and need. This role will be responsible for creating consistency and transparency across the use of funds process from beginning to end - facilitating operational excellence and enhanced relationship-building with Foundation supporters, who know their gifts are contributing to life-changing care.
Principal Responsibilities and Tasks
Effectively manage all 400 UMMS Foundation funds, including all discretionary, research, capital, restricted, and endowment funds by maintaining balance and expenditure records.
Produce regular reports on fund balances and expenditures, supporting fundraising staff and fund administrators' evaluation needs, and develop impact statements for donors.
Create new fund accounts with staff fund administrators, close fund accounts, transfer funds, and maintain fund administrator assignments as needed to ensure gifts have proper oversight and funds are properly utilized.
Communicate regularly with Development staff and fund administrators to track funding needs and activity to help enable stronger donor engagement.
Oversee daily, weekly and monthly reconciliation processes, including management and allocation of dollars in the UMMS Foundation holding account
Respond to gift fund inquiries from other UM System Foundations, the Office of Finance, and other stakeholders.

What You Need to Be Successful:
Bachelor's degree is required.
Three or more years of CRM and/or finance database management experience; Raiser's Edge/Financial Edge a plus.
Three or more years' experience maintaining funds or similar accounting role.
Strong proficiency with Microsoft Office applications, particularly Excel.
Strong analytical skills, exceptional organizational skills, and excellent attention to detail.
Ability to process high levels of data entry efficiently and accurately.
Ability to transform complex data into comprehensible reports.
Knowledge of relevant federal and state rules/regulations regarding charitable donations.
Ability to work independently without close oversight, but also a team player who will productively engage with others at varying levels within and outside UMMS Foundation.
