THE DEPARTMENT:
Office of Student Conduct & Integrity is responsible for ensuring a fair, just, and impartial disciplinary process for students charged with violating the Student Conduct Code, with a goal of providing information and resources to achieve a student interaction that is an educational one for all parties involved. Student Conduct & Integrity develops educational material, campus presentations, and campus outreach programs for faculty, staff, and student on rights, responsibilities, and judicial procedures. Student Conduct & Integrity adjudicates both academic and non-academic student conduct violations in an educational and developmental manner.
DUTIES AND RESPONSIBILITIES:
Case Management/ Investigations:
The Student Conduct Coordinator will investigate allegations of Student Conduct Code violations in accordance with Title 5 and current Executive Orders governing student conduct; Responsible for explaining student conduct procedures to students, faculty, parents/guardians, and staff. Student conduct procedures may include CSU Executive Orders, Title 5 (Student Conduct Code), grievance procedures, and various federal, state, and local laws related to the University. Helps the Director & Assistant Director with student conferences and drafting resolution agreements, including drafting letters and preparing notifications; Assists with all hearing types, including Title IX which may include assisting with recordings and follow-up letters and notifications; Meets with students on an individual basis to engage in developmental conversations where appropriate; Makes appropriate referrals to campus resources/partners based on the outcome of student meetings/conferences.
Assess and monitors sanctions as appropriate; Maintain highly confidential student conduct files including the development of case notes following current state and federal guidelines; Responsible for the assessment and evaluation process and co-monitors the overall coordination of the Student Conduct system; Meets with students/faculty, consult with complainants, weigh evidence, analyzes information, makes appropriate recommendations to the Director, and maintains cooperative working relationships with faculty, CSU administrators, students, and other campus partners. Performs initial intake with students to assess their student conduct needs; Provides resources to students going through the student conduct process; Direct and indirect contact with attorneys regarding student conduct matters and the processing of subpoenas; Compose and respond to confidential correspondences and queries, memos, letters, reports, and other such documents upon request; Connects students to the university through appropriate referrals; share campus resources to strengthen ties to the university and gather information to address crisis situations, along with helping with response and coordination.
Clerical/ Administrative Duties
The Student Conduct Coordinator will welcome visitors: students, faculty/staff, and parents/guardians to the department; Maintain knowledge about campus locations, services, and procedures; Provide help to explain and interpret Student Conduct related policies and procedures to students, faculty, staff, and visitors; Organize departmental communications, create copies/scan documents, and create campus hearing board packets for dissemination.
The incumbent will maintain case compliance checklists and run bi-weekly audit reports to ensure case compliance in Maxient; Maintain records related to student visitation and the maintenance/purging of electronic and tangible student records; Assist with the preparation, coordination, and promotion of departmental programming events (i.e., presentations, workshops, etc.); Coordinate the logistics related to scheduling campus hearing boards. The Student Conduct Coordinator will process travel requests/reimbursements, prepare assessment surveys, and analyze assessment information and data; Answer office telephones and direct divisional/departmental inquiries; Operate computer hardware and software associated with the Office of Student Conduct, including Maxient case management system; Maintains all office equipment, including copy machine, Cisco IP phone, shredder, and other technological assets; Prepare routine reports.
The incumbent will schedule student conduct meetings, hearings, and interviews; Make conference room reservations in collaboration with other departments who share the same space; Responsible for the distribution of mail/packages to office/department members; Provide department with note taking responsibilities for divisional/departmental meetings; Report all technology concerns to IT. Report maintenance problems to Facilities Operations. Utilizes BroncoDirect to retrieve student information; Serves as back-up for changes and updates to the Student Conduct & Integrity Website; Assist with social media communications and marketing campaigns; Produce charts, program agendas, and training materials as needed; Lead and advise all student assistants and graduate assistants; Assist with the training of student assistants; Review timesheets and maintains schedules for all student assistants/graduate assistants.
The Student Conduct Coordinator will monitor supplies and equipment needed by the department and members. Orders supplies when needed; Maintain information with an advanced understanding of confidentiality. Maintains list of departmental equipment and keys; Coordinate the daily operation, maintenance, oversight of the Maxient Student Conduct database; Responsible for creating and processing student account holds in BroncoDirect; Responsible for processing and reconciling P-Card requisitions in accordance with monthly deadlines; Support the director with monitoring budgetary impacts with the purchasing of office supplies and coordination of the department's Student Assistants schedule related to salary costs; Assist the Office of Student
Education & Outreach
Assists the Director of the Office of Student Conduct & Integrity (SCI) in the development and delivery of educational & outreach programs for the campus community; Leads the facilitation of SCI's Personal Responsibility Workshop, Plagiarism Workshop, and newly developed Workshops related to Student Conduct & Academic Integrity.
Provides information and resources to achieve a community of respect, civility, and integrity for all members of the community; Offers advice and guidance to students, faculty, parent/guardians, and staff regarding student conduct procedures; Provides advice and guidance to faculty regarding academic dishonesty and disruptive student behavior.
Analyzes information from campus partners, make appropriate recommendations to the Director, and maintains cooperative working relationships with faculty, CSU administrators, students, and other campus partners; Assists with all training/marketing efforts, including tabling, developing marketing materials, and the development and implementation of videos on academic integrity and student conduct; Oversees the capture and analysis of all assessment data from surveys and provides reports to the Director; Maintains the SCI website through updates and revisions; Facilitates Hearing Officer training with Directors.
Other Duties as Assigned
Provides back-up support when needed to other clusters within the division of Student Affairs.
Participate in divisional committees and/or working groups as assigned.
Take part in personal development activities as assigned.
Monitors student protests & free-speech activities.
Performs other duties as assigned.
QUALIFICATIONS:
Bachelor's degree or equivalent in one of the behavioral sciences, public or business administration or a job-related field AND
two (2) years of professional experience in one of the student services program areas or in a related field. (A Master's degree in a job- related field may be substituted for one year of the professional experience. Additional specialized and relevant experience may be substituted for the required education on a year-for-year basis).General knowledge of the methods and problems of organizational management, research and interview techniques; ability to interpret and apply program rules/regulations, use initiative in planning work assignments and in implementing long- range program improvements; obtain factual and interpretative information through interviews; reason logically; ability to plan, develop, coordinate, supervise and organize programs and activities; ability to interact with a diverse student population, faculty, staff and the public; ability to analyze complex situations accurately and adopt effective courses of action; ability to advise students individually and in groups on complex student-related matters; ability to complete assignments without detailed instructions; and ability to establish and maintain cooperative working relationships with a variety of individuals. Excellent verbal and written communication skills as well as the ability to acquire knowledge of the campus procedures and activities and the overall organization is required.
PREFERRED EXPERIENCE:
Master's degree preferred. Previous experience with Maxient or other conduct case management software is preferred. Working knowledge of policies and procedures related to confidentiality as required by the Family preferred. Educational Rights and Privacy Act (FERPA). The ability to independently compose and edit the following types of correspondence: student conduct charge letters, memos and email correspondence, meeting minutes, and student conduct Resolution Agreements preferred.
