The Assistant Director of JD and Graduate Law Programs (Assistant Director) provides daily data processing, data entry, and system support for the Offices of Law Admission and Graduate Law Programs. This position is responsible for all customer service-related aspects of the law admission office, including answering phones/reception duties, email correspondence, and greeting walk-in guests with friendliness, respect, and enthusiasm for our program. Further, this position is responsible for the coordination, maintenance, and upkeep of all admissions files and records. This includes, but is not limited to, handling all applicant information in the necessary computer systems including Colleague, Workday, ImageNow, and ACES2/Unite throughout the entire application process. This position requires a high level of customer service and an extraordinary level of attention to detail and ability to manage multiple tasks in order to ensure that the law schoolu2019s enrollment needs are met in a timely, efficient, and accurate manner.Main Responsibilities:The Assistant Director will be responsible for effective support in all admissions staff functions including, but not limited to, answering telephones, greeting visitors, and scheduling visits in a friendly and enthusiastic manner. The Assistant Director will also upload visitor information into the relevant database to ensure follow-up from an administrator.The Assistant Director is responsible for the timely, friendly, and enthusiastic communication with all prospective students who reach out to the office and request information, whether by phone, email, or in person. This will include managing the **** email account and the admissions office voicemail by responding to all applicants in a timely and professional manner and forwarding emails and messages along to an appropriate member of the admissions office when necessary.Ensure up-to-date and accurate admission records in the student database. This includes, but is not limited to, downloading and processing of electronic files from ACES2/Unite, maintaining records in Colleague, Workday, and ImageNow, gathering data, and ensuring accurate syncing with university systems. During conversions and upgrades, the Assistant Director serves on relevant committees, as needed. Throughout the conversion process, the Assistant Director documents all new Admissions procedures.The Assistant Director will be responsible for the reconciliation of all applicant files with the various databases, including ImageNow, ACES2/Unite, Colleague, and Workday.Timely and accurately produce computerized reports, as needed. The Assistant Director runs both routine and ad hoc reports from the student admission database. Examples of reports include:u00A0 admission statistics, mailing labels, applicant lists, management reports, etc.The Assistant Director will be responsible to support the Dean of Admission, Assistant Dean of Graduate Law Programs, and other leadership staff, especially during the recruitment season, with a number of tasks including, but not limited to, keeping the leadership staff up to date on current applicant issues, ensuring the effective and timely communication with new applicants, and coordinating travel for recruitment as necessary. The Assistant Director will be responsible to assist with shipping materials to and updating recruitment events, as well as tracking and maintenance of contacts.u00A0Responsible for accurate data flow between the Admissions Office and the Law School Admission Council and serves as the point person for technology issues between the Admissions Office and LSAC. This includes, but is not limited to, reports and data that need to be conveyed on-line through the ACES2/Unite system. The Assistant Director diagnoses and troubleshoots problems with the ACES2/Unite system.Responsible for tracking completed files, readying those files for review, and sending decisions out in a timely and efficient manner.Expected to assist the leadership staff, as needed, with projects or tasks as they arise.The Assistant Director may be required to attend recruitment events for the Graduate Law Programs Office in the US and outside of the US. The successful candidate must be comfortable conducting presentations about graduate law programs and answering questions about the graduate law programs portfolio. The Assistant Director will strategize with the Asst. Dean of Graduate Law Programs about new marketing strategies for graduate law programs, including the use of social media and other marketing and outreach campaigns, and will lead implementation efforts.u00A0Requirements/QualificationsThe Assistant Director will ideally have 1-3 years of experience in a law school admissions office, or in the alternative, recruitment and/or customer service experience. The Assistant Director will be a self-starter, innovative, and results-oriented with strong verbal and writing communication skills and the ability to meet deadlines. The Assistant Director will be au00A0team-player, possess eagerness to initiate new projects and ability to set priorities and employ time management.u00A0-The Assistant Director will be proficient in the Microsoft suite of programs (Outlook, Word, Excel, etc.)Proficiency in ACES2/Unite and Workday is a plus.
