Position Summary
Provide administrative support to the OLLI Director in classroom preparation, support, member communication and outreach, website monitoring and maintenance. Provide clerical support by way of preparing and processing forms such as instructor payments, director reimbursements, basic filing and collection of data. Answering OLLI phone line, calendaring events, space reservations.

Check voice mail, transmit messages & reply to inquiries when appropriate
Classroom Preparation
Ensure classrooms are unlocked and available for classes
Ensure equipment is powered on and functional
Secure classrooms once classes end
Clerical Support
Sort and distribute mail daily
Processing forms
Room reservations
Basic Filing
Calendar management
General Program Support
Update/create fliers
Order copies
pick up and distribute copies
Help coordinate special events and meetings

Minimum Qualifications
These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.
Experience to be fully functional in all technical aspects of work assignments.
Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures.
Thorough knowledge of English grammar, punctuation, and spelling.
Thorough knowledge of office systems and ability to use a broader range of technology, systems, and packages.
Ability to independently handle multiple work unit priorities and projects.
Ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist.
Working knowledge of budget policies and procedures.
Ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections.
Ability to draft and compose correspondence and standard reports.
Ability to handle effectively a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature.
Preferred Qualifications
Requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to under stand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.
Ability to accurately input data.
Ability to work effectively and harmoniously with a diverse spectrum of individuals and groups seeking assistance with materials and equipment.
Ability to work under pressure with frequent interruptions in a high-traffic environment.
Experience in an educational setting, and experience working with a senior population to assist them in completing standard form and navigating websites.
Experience in building and managing social media (Facebook, Twitter, Instagram, etc.), and basic web skills in managing content on already established sites.
Environmental/Physical/Special
Flexible hours including some evenings and weekends for membership drives, informational sessions and/or special events.
