Job Description:
Under the direction of the Associate Director of Marketing & Enrollment, the Enrollment Representative (ER) reports directly to the Associate Director and will have responsibility for assisting Assistant Director in all activities related to the recruiting and retaining of undergraduate and graduate students in the Division. The ER will be expected to communicate effectively with prospective students, current students, faculty and staff in other offices of the College and must have a working knowledge of all undergraduate and graduate degree and certificate programs offered by the Division. This position is based on the Plymouth Campus.
Essential Functions:
1. Continuing Education and Graduate Programs Support:
Provide basic information to prospective students and enrolled students about CE and Graduate programs and courses and direct to appropriate staff person as needed;
Assist students with individual requests; examples: reimbursement request letters, travel directions, looking up login-PIN information, and assisting with navigating the myCurry portal, Curry Web information system, accessing Canvas, and explaining forms;
Understand Division and College policies and procedures;
Provide basic information to CE and Graduate faculty concerning policies and procedures.
2. Recruitment and Marketing Support:
Assist with the follow-up of new inquiries;
Input student inquiry data into Salesforce;
Run Salesforce reports to generate lists of students needing follow-up letters or phone calls;
Prepare communications to inquiries, students and faculty;
Maintain student files and identify students who are ready to have their CE admissions applications reviewed;
Greet/direct visitors, including prospective students, students, staff, faculty, and vendors;
Assist with special projects for recruitment and retention efforts large mailings, email blasts, and updating or creating new in-house spreadsheets;
Record RVSP's for Open Houses and Information Sessions;
Generate and send admission decision letters.
3. Financial Support:
Verify financial clearance for all registrations and communicate problems to students;
Maintain spreadsheets of students eligible for tuition deferments, vouchers, and discounts;
Understand the financial aid process, verify students' financial aid status and funds.
4. Registration and Student Records:
Assist in maintaining accurate enrollment, application, and matriculation files and Salesforce records;
Provide support for the admissions application process and update Salesforce tracking systems on a daily basis
Assist in maintaining accurate recruit and student records;
Log and track official documents, such as transcripts, Test scores and recommendations;
Assist students with the registration and payment process, in person or over the telephone;
Input student information into Banner as needed; determine correct;
Assist with special projects for recruitment and retention efforts;
Generate and send tuition reimbursement communications to students;
Generate and send portal credential letters to new and inactive students.
5. General Office, Facility, and Administrative Support:
Maintain office supply inventory and order as needed; replace toner as needed;
Sort and process daily mail and faxes; prepare mail for pickup;
Make service calls for equipment repairs;
Provide support for instructors' classroom needs as requested;
Other administrative tasks and projects as assigned;
Answer multiple telephone lines and forward to appropriate staff person if necessary;
Monitor and respond to emails in the CE Grad email boxes.
Additional Functions:
Assist with event set-ups and classroom furniture arrangement;
Perform other duties as assigned by the Assistant Director.
Requirements:
Minimum Qualifications:
High School Diploma.
One to three years of office administrative experience.
Strong interpersonal communication, customer service skills, solid organizational skills and ability to prioritize multiple tasks and meet established deadlines.
High level of accuracy and attention to detail.
Intermediate proficiency utilizing complex computing applications on the systems and programs of College's choice: currently by way of example, Microsoft Office Suite.
Preferred Qualifications:
Associate's degree.
Previous work experience in a higher education or sales environment.
Working knowledge with Banner Database.
