THE DEPARTMENT:
The Office of Student Success provides leadership for multiple units focused on meeting the needs of Cal Poly Pomona's diverse student body. The Office of Student Success oversees the coordination of academic advising initiatives to achieve shared goals, and the development and implementation of academic intervention programs to help students make timely progress toward degree completion. Student Success provides oversight for academic and student success as related to academic policies, university advising, academic-related initiatives, and strategic planning. The office handles student petitions related to academic issues, including general academic petitions, retroactive withdrawals, grade appeals, academic renewal, and records the completion of culminating experiences. Student Success provides oversight for University Advising, the Bronco Advising Center, Student Communication, Advising Technology, Undeclared Advising, Early Alerts Programs, Graduation Pledge Programs, the Early Start Program, the Learning Resource Center; Bronco Tutoring; First Year Experience (FYE); Science, Technology, Engineering, and Mathematics Students United to Create a Community for Engineering and Science Success (STEM SUCCESS); Reading, Advising, and Mentoring Program (RAMP); and the University Writing Center. The office of Student Success collaborates with Academic Program, Enrollment Management Services, and College leaders to support students in meeting their academic goals.
DUTIES AND RESPONSIBILITIES:
Major Requirement Communication and Exploration Coordination:
Coordinate the Change of Major requirements updates by partnering with department chairs and college advisors to keep materials updated. Ensure that the requirements are up-to-date, consistent with university policy, and equitable across colleges.
Create programming for students who are not making progress in their current majors to explore majors that may be a better fit.
Create and implement programming for students on Administrative Probation for not making progress in their current major.
Develop and implement Canvas-based resources to help departments offer consistent and effective change of major tools and resources.
Partner with the Undeclared Advising Coordinator and Advisor to support Undeclared students during orientation.
Partner with Senior Coordinator of University Advising to coordinate the implementation of department-based major success markers.
Utilize student success marker courses to dentify students are in strealth majors to help them to declare their new major or get back on track in their existing major.
Monitor success marker analytics, develop reports, and partner with college advisors to develop data-based strategies to support students.
Partner with the Senior Coordinator of University Advising and the Graduation Pledge Coordinator to launch campus-wide efforts to promote CPP Connect's Planner and scheduler.
Coordinate with Enrollment Management and IT partners on the improvement of the Change of Major petition and OnBase reporting.
Partner with Early Alerts team on doing outreach to students.
E-Advising Coordination and Support:
Under the leadership of the Senior Coordinator for University Advising, support the implementation of eAdvising tools in CPP Connect including Navigate, the Planner, Scheduler, and one-click registration.
Serves as the university expert within the Office of Student Success and Bronco Advising Center and to all external advising or instructional units for all eAdvising projects.
Works with OSS leadership, department chairs, and college advisors to coordinate e-Advising tools that help students to effectively plan for their degree. Align Planner requirements with curriculum sheets and roadmaps, review and update registration holds, etc...
In partnership with the Senior Coordinator, serves as Help Desk support for EAB and other e-advising tools; reviews and analyzes issues; coordinates with EAB and CPP IT to resolve, refer or escalate as appropriate.
Coordinate with Colleges, departments, and divisions on large-scale interventions and communication to ensure effective use of the tools.
Ensures that eAdvising tools are meeting advisor needs effectively by hosting regular meetings, surveying individual and departmental use, and conducting focus groups.
Research best practices by reviewing literature and consulting with colleagues at peer instutions to develop new advising programs enabled by eAdvising tools.
Regularly monitor and report of College and department use of tools and student outcomes as a result of interventions. Explore opportunities for areas to more fully utilize the tool.
Assist with the evaluation and assessment of advising and e-advising interventions and make appropriate recommendations regarding academic planning.
Advising and Student Support:
Utilize knowledge of university policies and processes to advise undergraduate students about general academic requirements.
Independently advise undergraduate students, including those with particularly complex problems to ensure that they have a plan to proceed toward their academic goals, but are also connected with appropriate resources.
Collaborate with multiple campus advisors (including college advisors, Athletics, International Center, etc...) to help students achieve academic success.
Document important information given to advisees regarding their academic progress for consistency and accuracy.
Access and understand student records to ensure that accurate information is given.
Refer students to appropriate department and college advisors and to campus student support offices and services.
Campus and College Programs and Projects:
Serve as an active member of the College and University advising community.
Regularly participate in Academic Advisor Council and attend its meetings, as well as advisor trainings, webinars, and workshops.
Participate in supplemental advising committees and working groups, as appropriate.
Serve as an active member of the College-based Student Success Team, if requested, by providing expert knowledge to identify and explore solutions and interventions.
Implement interventions to improve student outcomes.
Serve as liaison to one or more academic departments to provide updates on procedures and policies as well as review curriculum information to be communicated with students.
Provide professional advice to department chairs and faculty regarding student issues.
Documentation and Reporting:
Provide robust documentation of advising interactions, interventions, and programming via CPP Connect and other available tools. Summarize all information in annual reports and provide data-informed recommendations for improvements.
Utilize reporting tools such as CPP Connect (EAB), DataWarehouse, and Tableau to identify students in need of support and track progress toward improving their academic outcomes.
QUALIFICATIONS:
Equivalent to graduation from a four-year college or university in a related field, including or supplemented by upper division or graduate course work in counseling techniques, interviewing, and conflict resolution where such are job-related.
Three years of progressively responsible professional student services work experience.
A master's degree in Counseling, Clinical Psychology, Social Work, or a directly related field may be substituted for one year of professional experience.
A doctorate degree and the appropriate internship or clinical training in counseling or guidance may be substituted for the three years of experience for positions with a major responsibility for professional career or personal counseling.
Thorough knowledge of the principles of individual and group behavior.
General knowledge of the principles, practices and trends of the Student Services field as well as general knowledge of the policies, procedures and practices of the program area to which assigned; general knowledge of individual counseling techniques; general knowledge, or the ability to rapidly acquire such knowledge, of the organizational procedures and activities of the specific campus to which the position is assigned.
Working knowledge of student services programs outside the program to which immediately assigned.
Ability to analyze complex situations accurately and adopt effective courses of action; advise students individually and in groups on complex student-related matters; determine appropriate courses of action and proper techniques to utilize while engaged with individuals in personal interactions of an argumentative or sensitive nature; interpret and evaluate descriptions and explanations of problems brought forward by individuals or student organizations, analyze and define the problem, draw valid conclusions and project consequences of various alternative courses of action; carry out a variety of professionally complex assignments without detailed instructions; and establish and maintain cooperative working relationships with a variety of individuals.
PREFERRED EXPERIENCE:
One year experience in the program area to which assigned.
Masters degree in Educational Leadership, College Student Personnel, Educational Counseling, or related field.
Knowledge of General Education in the California State University system.
Experience working with students in academic distress, dealing with highly sensitive issues.
Demonstrated ability to work collaboratively with experienced staff and unite them around common goals; personal qualities of integrity, flexibility, compassion, and an enduring sense of humor. Experience in at least two of the following areas: academic advising, teaching, assessment, counseling, and co-curricular activities.
Ability to juggle multiple tasks at once while remaining composed.
Ability to retain and utilize large amounts of detailed information and quickly access and utilize additional information in the moment.
Strong verbal & written communication skills including phone and in-person, emails, texts, etc.
