Why us, why now?
Supports Chief Academic Officer (CAO) by handling a wide variety of situations involving administrative functions of the Academic Affairs department. Performs duties of a highly confidential nature that require extensive knowledge of interpersonal policies, practices, and procedures. Advises others of the CAO's views on policies or issues, using judgment and discretion. Uses business software to prepare correspondence, reports, presentations, agendas, minutes, etc.; may prepare responses to routine correspondence and inquiries. Receives, screens and advises mail and email. Maintains files, records, calendars, and notes; arranges business travel, coordinates meeting arrangements, and tracks expenses. Performs sophisticated tasks requiring the consideration of multiple variables to determine accurate course of action. While tasks are sophisticated, most decision-making can be made within pre-determined approaches or standard procedures. May lead and provide functional guidance to lower level support employees. Works under general guidance/supervision.
How will you make an impact?
Provides administrative support including calendar management, meeting preparation and presentations, travel arrangements, processing phone inquiries, administrative tasks, and expense reimbursements for the Chief Academic Officer (CAO)
Supports CAO's relationships with other professional organizations by coordinating meaningful meeting logistics with these professional organizations
Manages and prioritizes CAO communications to ensure responses are provided in a timely manner
Coordinates logistics for meetings across Academic Affairs, including department, leadership, supervisor, committees, and working groups and coordinates meal order requests
Assists with operationalizing the Academic Affairs communications plan by planning logistics for retreats, organizing lunch and learn sessions, etc.
Helps maintain department's internal web homepage
Coordinates ordering and processing of department supplies
Works with the Program and Project Management Community of Practice to provide project management support across the Academic Affairs department
Serves as program coordinator for the Medical Education Senior Leaders, specifically supporting the various committees, task forces, and working groups
Provides project coordination for ad-hoc, specific projects in the Academic Affairs department
Collaborates with staff and support projects across the Office of the Chief Academic Officer and broader Academic Affairs department, as needed
Participates in Academic Affairs department and organization-wide committees
Other duties as assigned
What will you bring to the role?
Bachelor's Degree
3-5 Years of related work experience
Must be flexible and detail-orientated with excellent interpersonal skills, as well as proven track record to problem solve and adapt to changing environments.
Remote Work Eligibility
This position is eligible for remote work within the Washington DC / Baltimore metro area only.
If a bachelor's degree is required, related work experience may be substituted in some positions. One year of college course work at an accredited institution is equivalent to one year of related work experience.
