Job Description:
General Summary:
The Associate Director of Graduate Programs for the School of Education works with the dean, associate deans, and program chairs and directors to manage the graduate, certification, and doctoral programs in the School of Education. The associate director works in conjunction with the certification office for students who are earning any state certificate and works with the graduate admissions office and registrar's office to work with students from the time they enter the program until they earn their degree or certificate.
Job Duties:
Admissions
Facilitates the admissions process by overseeing admissions from the time of application through enrollment. Serves as the SOE liaison with Graduate Admissions in processing doctoral and graduate application files and works with faculty in the enrollment process. Creates and routinely revises admissions materials for new doctoral and graduate students. Creates and maintains Graduate Student Wiki and delivers orientation presentations pertinent to the job as necessary or requested by program chairs.
Students
Responsible for maintaining student files, monitoring program progression, providing accurate information for students, faculty, and staff, and serving as key resource for graduate and doctoral students during their time at SPU. Maintains and updates graduate and doctoral student files, monitors student progress, and documents program exceptions and changes. Creates and manages petitions and transfer credit process for all graduate students. Responds to student inquiries and assists students as necessary. Routinely meets with and advises students as appropriate. Provides necessary information to Certification Office staff for graduate students seeking certification. Performs regular graduation checks for all students who apply to graduate. Reviews student files to ensure all degree requirements have been met and is solely responsible for awarding degrees. Creates and maintains purging and archiving process for all files.
Communication
Maintains and updates the School of Education website in conjunction with University Communications. Develops and distributes a quarterly bulletin in collaboration with the School of Education Office Coordinator that provides graduate students with important program, course, and calendar deadlines. Sends notification to students as required by SPU or department.
Policies
Serves as School of Education policy expert for program requirements, the University Catalog, and Time Schedule. Creates and proposes policy changes to align program requirements with University Catalog. Works collaboratively with the Associate Dean for Graduate Studies and program chairs in the development of and updates to the graduate Time Schedule. Facilitates the review and update of the Graduate Catalog, working with the Associate Dean for Graduate Studies, the Office of the Registrar, and program chairs to ensure timely processing.
Administration
Provides key administrative services for the department. Provides administrative support to the various doctoral and graduate programs, and coordinates various graduate program activities including the facilitation of comprehensive examinations, program orientations, and graduation banquets. Serves in graduation events, including Graduate Hooding and Commencement.
Requirements:
Bachelor's degree.
Three years of progressively responsible experience in an office environment.
Three years of experience in higher education, a plus.
Excellent verbal and written communication skills, excellent attention to detail, accurate data entry, ability to prioritize, and ability to focus on multiple projects and tasks.
Ability to work with other people as part of a team.
Ability to speak to diverse groups,
Experience using social media for business purposes, knowledge of online learning systems, web design and editing platforms.
Strong commitment to advocacy and building relationships with students and university constituents.
Proficient with Microsoft Office products including Word, Outlook and Excel.
An understanding of FERPA and knowledge of WA state certification requirements, preferred.
Familiarity with Banner, Canvas, Sitecore, SharePoint, and social media platforms, a plus.

Hourly rate: $29.09
This is a full time position with excellent benefits. SPU pays the employee premium for medical, dental, and vision insurance.
