Job Summary
The College of Arts and Sciences encourages applications for an Administrative Coordinator! This position is the primary point of contact for our main office reception and provides front line general information to students, staff, faculty, and visitors. Other duties will include assisting with the processing of documentation and disseminating information, room scheduling, and managing office logistics to ensure smooth business operations.
The Administrative Coordinator will support undergraduate student services, publicizing the undergraduate major and special events within the department, and coordinating student registration. This position supports purchasing and payment processing as needed, and is the lead on marketing and communications for the department.

What Your Key Responsibilities Will Be
Administrative and Operational Support:
Serve as lead coverage for front desk to provide faculty members, current and prospective students, and visitors general information, greet guests, answer the main phone and email, handle inquiries, and sort and distribute mail.
Design and create office policies and procedures with the Manager of Finance and Business Operations.
Responsible for electronic filing systems, maintain department list serves, publish office hours, and ensure directory is current.
Monitor and restock all office and teaching supplies, support in the procurement of computers, keys and parking permits for new hires and is the main department purchaser in CU Marketplace.
Ensure copiers are fully functional, and create and maintain instructions for use of office equipment.
Ensure compliance with all rules and regulations by interpreting and clarifying their intent, and resolve issues for both current students and faculty, and prospective students, their parents, and outside entities.
Conduct presentations and tours and answer program-related questions about curriculum, auditions, productions, etc.
Establish efficient operating procedures to coordinate and promote dance and theatre through auditions, town halls, weekly master class and studio rotation schedules and calendars, High School Dance Day, and student travel funds.
Responsible for ensuring that all main office and departmental operations are administered. Will serve as a liaison and administrator to several campus needs and departments.
Maintain current contacts for entities and establish efficient systems to fulfill specific liaison duties.
Manage booking out space with outside entities to ensure their needs are secured and review all contracts and residencies each summer.
Collaborate with the chair to book rehearsals for students, faculty and outside groups and enforce priorities when making reservations.
Website, Marketing and Communications:
Administer and maintain department website by proofreading all web content and ensuring that information is accurate.
Autonomously make decisions regarding content, layout and design, perform day-to-day web update requests from faculty and staff, and serve as the department's Social Media Manager.
Manage all public screens and monitors housed throughout the building by generating and uploading content.
Maintain all undergraduate and graduate listservs by moderating messages, updating subscribers, and removing spam.
Manage Center for Student Involvement (CSI) groups and contracts.
Maintain and proof all marketing materials related to THDN programs, services, and recruitment and ensure adequate inventory.
Partner with Education Coordinator to design program-related materials to be used in advertising and recruitment and collaborate with CU admission and recruiting staff.
Coordinate, design, and disseminate quarterly departmental newsletter. Collaborate with others for updates and story links.
Liaise between the department and CU Presents with regard to visual imagery, text, and targets for productions.
Collaborate closely with all partners to facilitate media interviews and identify media-worthy stories.
Event Planning:
Support in planning, promoting, and running departmental events for faculty and students.
Serve as liaison with on and off campus vendors on event-related matters. Initiate all catering contracts, and coordinate and manage event timelines.
Process Improvement:
Work to expand information about program resources by collecting, interpreting and reporting data to evaluate undergraduate majors, student credit hours, diversity planning, and funding processes and awards.
Seek to improve efficiency and recommends process modifications and improvements based on analysis of operations.
Undertake the review and maintenance of the webpage, and evaluate for features such as scope of content, ease of use by domestic and international students, etc.
Work closely with department personnel to better define objectives and goals.
What You Should Know
This position is expected to be in a hybrid work modality, with 3 days in the office and 2 days remote.

The salary range is $44,052 - $45,624 annually.

What We Require
Three years of proven experience in an occupational field related to the work assigned to the position.
Appropriate education will substitute for the required experience on a year-for-year basis.
Must be a Colorado resident to apply.
What You Will Need
Capable of working independently and with initiative to complete tasks.
Proficient computer knowledge and skills in areas such as Adobe Acrobat, Illustrator, and Photoshop, Google Drive, OneDrive, and MS Office applications.
Ability to communicate effectively, both orally and in writing with a variety of professionals, administrators, and students.
Ability to work independently and assume responsibility for critical functions in the management of educational programs.
Demonstrated ability to function effectively in a team and within other collaborative work situations.
Established ability to learn and perfect new systems and skills.
What We Would Like You To Have
Associate degree or higher.
4 or more years of general clerical or administrative experience.
