Job Description:
General Summary:
The Office & Events Coordinator is responsible for Center for Career and Calling (CCC) office management and logistics associated with CCC and employer relations work and events. This position serves as the CCC office point of contact, answering general questions from visitors, directing faculty & staff to the appropriate staff, managing the front desk, etc. The Office & Events Coordinator may also manage undergraduate student staff as needed.
The Office & Events Coordinator is highly successful at developing relationships with diverse communities, understanding the landscape of diversity, equity and inclusion, and implementing initiatives to address inequity or injustice.
As a member of the CCC team in the Division of Student Life, the Office & Events Coordinator contributes to the development and implementation of highly effective, integrated career and employment services for undergraduate students and alumni of **MEMBERS ONLY**SIGN UP NOW***..

Manage CCC office:
Manage general office operations: maintain and purchase office supplies, manage office machines and repairs, disseminate CCC and SPU information to CCC staff, manage CCC calendar, take notes in staff meetings and distribute to team in a timely manner, manage office coverage and work-from-home schedules for staff.
Serve as main point of contact for Finance. Manage CCC contracts and payments, and the CCC office credit card in collaboration with PCAs.
Manage Sharepoint in conjunction with Assistant Director; maintain accurate filing system and system for tracking CCC presentations.
Regularly pull, track and compile data as needed, including class enrollments, events, appointments, and data for quarterly and annual reports. Create annual report.
Manage all hiring paperwork and forms for new student hires.
Become a superuser on the Handshake and Falcon Connect platforms and help field office questions.
Provide additional support for CCC Director as needed.
Support CCC Events and Employer Relations:
Provide logistical support for career fairs and other major CCC events and new initiatives; work closely with Program Director for Employer Relations on employer-related events.
Support PCAs responsible for reserving employer spaces/events at SPU, and PCAs responsible for approving events in Handshake.
Provide support to the Program Director for Employer Relations as needed, including:
weekly newsletter
check the Employer Relations email account
respond to emails with common questions such as information about the next career fair, how to set up a Handshake account, etc.
Manage the CCC marketing information to be broadcast on the SUB televisions.
Support the planning of staff meetings and retreats.
Organize staff gatherings such as birthdays, holiday celebrations, etc., in collaboration with student workers.
Manage Internships:
Manage Undergraduate Internships
Manage all aspects of undergraduate internships in Handshake.
Communicate with students, faculty, registrar and other staff as needed.
Work closely with Student Academic Services and faculty to ensure internships are handled appropriately.
Student Staff Management
As needed, hires, trains, supervises & motivates student staff members (undergraduate) to help create a positive career development experience for all students and alumni, and further the CCC's Internships for All Initiative.
Collaborates with Assistant Director, ensures that supervised students are effectively trained in key career development skills, and able to support undergraduate students in class visits, CCC-taught career classes, career appointments, and CCC programming and events.

Continually increases knowledge about justice, diversity, equity, and inclusion, and supports team efforts to do the same. Commits to providing resources that are intentionally inclusive of individuals from a range of diverse backgrounds, as reflected in our student body.
Completes all job duties in ways that are effective and engaging, with an awareness of the concerns, pressures, and inequities that members of minoritized communities face.
Requirements:
Bachelor's degree required.
Two years of directly applicable work experience preferred.
One year of project management, office management and event management experience.
One year of experience supervising, hiring, evaluating, training, and mentoring student staff and student programs.
Strong oral and written communication skills with a range of diverse audiences; ability to work well independently and as part of a team.
Passion for career development and knowledge of basic career development content such as resume writing, cover letter, and LinkedIn preferred. Career advising/counseling or related experience in a higher education setting a plus.
Proven track record of successfully working with diverse communities and creating programs to address needs of BIPOC, first generation, LGBTQIA , international student, female, and other underrepresented communities. Strong multicultural competency and demonstrated ability to foster an inclusive climate for all stakeholders (e.g. students, staff, faculty, organizations, employers).
Proficiency with Microsoft Office (including PowerPoint, Office, Teams, Outlook), Zoom, SharePoint. Familiarity with Canva/Adobe/Photoshop or other design software a plus.
A comprehension of and commitment to the educational and spiritual objectives of **MEMBERS ONLY**SIGN UP NOW***. and an understanding of how those relate to career development.
Additional Information:
Position will remain open until filled.
This position is 11 months and 32 hours per week. The CCC is closed during the month of July (July 1-31).
Salary: $21.58 - $23.58 per hour
This is position comes with excellent benefits. SPU pays the employee premium for medical, dental, and vision insurance. SPU makes contributions to an employee HSA account and to a retirement account after one year of eligibility in the plan.
